What Gets Transcribed?
✅ Audio only – Spoken conversation is converted to text
❌ No video – Video is never recorded or stored
❌ No audio files – Sound isn't saved; only the text transcript remains
How It Works
Step 1: Client Consents
Before joining the telehealth room, your client sees a consent screen asking if they agree to transcription for that session.
Yes or No options – Clients can accept or decline with one click
Session-by-session basis – Consent is requested each time, so clients can change their preference at any appointment
Session always starts as normal – If a client declines, the session proceeds normally without transcription
You'll be notified – If they decline, you'll see a pop-up so you know to take notes manually
Step 2: Session Begins
If the client consented:
Transcription starts automatically when you both join
It runs quietly in the background
Neither of you needs to do anything
Step 3: Transcript & Note Are Created
Within minutes after the session ends:
A full transcript is generated:
Appears in the client's profile under the Transcripts tab
Can be viewed or deleted at any time
An AI-generated session note is created:
Appears under Notes in your chosen format (SOAP, DAP, etc.)
Matches your stylistic preferences set in Settings
Fully editable and deletable—you have complete control

Privacy & Security
HIPAA-compliant storage
All transcripts are encrypted and stored securely within Allia.
No third-party access
Allia's tech team cannot view individual client transcripts.
You control deletion
Delete transcripts immediately after creating your note, or retain them for your records.
Session-specific
Each transcript is linked only to that specific appointment and client.
