Features Inside the Telehealth Room

The Telehealth Room is a HIPAA-compliant workspace. It is designed to allow clinicians to conduct secure video sessions while managing documentation through the integrated sidebar.

1. AI Transcription & Transcript Management

The system manages transcription based on the patient’s selection at the start of the call.

  • Patient Consent Prompt: Before entering the room, patients must select "Yes" or "No" for session transcription.

  • Non-Consent Notification: If a patient declines, a notification appears at the top of your screen. This serves as a prompt that you will need to take manual notes.

  • AI-Generated Drafts: If consent is given, the AI captures the audio to generate a draft clinical note in the patient's record. This draft is built using your stylistic preferences (e.g., SOAP or DAP) and serves as the foundation for your final review.

  • Clinician-Only Access: Access to the verbatim transcript is restricted exclusively to the clinician. It is stored in the Patient Dashboard under the Transcripts tab.

  • Data Control & Deletion: Clinicians have the authority to delete the transcript at any time. A common clinical workflow is to delete the transcript once the official progress note has been edited and signed.

2. The Sidebar and Manual Documentation

The sidebar is your active workspace during the session for real-time charting.

  • Real-Time Note-Taking: Use the sidebar to type clinical observations and notes as the session progresses.

  • Automatic Syncing: Any text written in the sidebar during the appointment will automatically appear in the Patient Dashboard under the Notes tab immediately after the session ends.

3. Ending the Session & Reconnection

Understanding the technical behavior of the "End Session" function is critical for maintaining session continuity.

  • Closing the Room: Once you press End Session, the room is securely closed for both you and the patient.

  • Accidental Disconnects: If you click "End Session" by mistake, the unique link for that appointment is deactivated.

  • How to Reconnect: To resume the call, you must start a new Instant Meeting. Navigate to the Patient Dashboard and click the Instant Meeting button in the patient header. This sends a fresh link to the patient via email and app notification instantly.

4. Technical Controls

  • Audio & Video: Toggle your microphone and camera feeds as needed.

  • Speaker Settings: Switch between audio outputs (e.g., laptop speakers vs. a headset).

  • Screen Sharing: Both participants can share screens to review worksheets, assessments, or educational resources.
