Allia’s calendar is built to protect your time and simplify your bookings so you can stay focused on care—not logistics.

Booking an Appointment

Scheduling a session takes only a few seconds and can be done without leaving your current screen.

  • Click & Create: Click any open time slot on your calendar to open the booking form.

  • Search Patient: Type the first few letters of the patient’s name to auto-populate their profile.

  • Select Clinician: In a group practice? Use the dropdown to pick the specific provider or book on behalf of a colleague.

  • Set the Type: Choose Telehealth or On-site. Allia builds the secure video room automatically for all telehealth sessions.

  • Duration: Select 30, 45, 50, or 60 minutes.

Navigating the Calendar

The calendar uses a simple visual system to keep your practice organized at a glance.

  • Status Color Codes:

    • 🟡 Yellow (Pending): Waiting for the clinician to "Accept" or the patient to confirm.

    • 🔵 Blue (Upcoming): Confirmed and ready.

    • 🟢 Green (Completed): Session is done; ready for your clinical notes.

    • 🔴 Red (Cancelled): The appointment was removed, and the slot is open again.

  • Views & Toggles: Switch between Week, Day, or Month views. Use Clinician Toggles to manage schedules for your entire group.

  • Time Zone: Your active time zone is visible at the bottom of the screen. This can be edited in the calendar setting.

Time saving tip: You don't always need the full calendar. Check your Practice Dashboard for a quick list of all appointments for "Today." It’s the fastest way to start your morning.

Pro Tip for Attendance: Remind patients to click "Confirm" in their app. Moving a block from Yellow to Blue improves attendance by ensuring the client is committed to the slot.

Appointment Details & The "One-Click" System

Clicking any appointment block opens the Detail Drawer, your command center for session logistics.

  • The One-Link System: You and your patient use the exact same secure link for every session.

  • No Logins or Passwords: Patients do not need to create an account or remember a password to join the video call. This "one-click" access reduces late starts and tech stress.

  • Manual Sharing: If a patient is struggling to find their invite, click Copy Meeting Link in the Detail Drawer and send it via secure message.

  • Mobile Access: Since Allia syncs with Google Calendar, you can grab the link from your phone's calendar for walking therapy or sessions away from your desk.

How to Join Your Telehealth Session

Allia is built for speed. You can launch your video room from whichever screen you are already on. No extra software (Zoom/Teams) is required.

Option 1: From the Dashboard (Fastest)

The Dashboard shows your next session at a glance. Clicking here is the quickest way to start your day.

  • To Join: Click the Join button on the upcoming appointment card at the top of your screen.

  • Why use it: It saves clicks by skipping the calendar entirely.

Option 2: From the Calendar

If you are already looking at your weekly schedule, join directly from the time slot.

  • To Join: Click the appointment block and hit Join.

  • Why use it: Best for checking your schedule or viewing the "Yellow/Blue" confirmation status before jumping in.

What happens when you join?

  • Seamless Charting: The session opens with a Secure Sidebar. You can view the patient’s chart, pronouns, and past notes while the video is live—never lose sight of the patient while you document.

  • Device Flexibility: Patients can join from a laptop or mobile device using any standard web browser.

  • Best Results: We recommend Google Chrome. Ensure Wi-Fi is strong before starting.

Pro Tip: If it’s a patient's first time on Allia, manually email them the link 5 minutes before the call. While Allia automatically sends the link via email reminders, and app push notifications, this "extra touch" ensures the link is at the top of their inbox. Since the link is exactly the same for both you and the patient, it’s easy to copy/paste, reduces "first-time tech" anxiety, and ensures a smooth start.
