Setting Up Your Calendar

Allia’s calendar is designed to protect your time and simplify your workflow. Whether you want patients to self-schedule or you prefer to manage every booking yourself, setup only takes a few minutes.

Tab 1: Calendar Setup

Calendar Sync

  • Connect Your Calendar: Click Add New Calendar and sign in with your Google credentials.

Why it matters: Any event marked "Busy" on your external calendar will automatically block that time in Allia. This prevents double-bookings without you having to update two different systems.

Define the Rules

Set your "Office Policies" to automate how the system handles bookings:

  • Slot Size: Sets the default length for patient self-booked sessions (e.g., 45 or 50 min).

  • Booking Period: Choose how many months into the future a patient can see your availability.

  • Notice Period: Set this to 24 Hours to prevent last-minute or same-day surprise bookings.

  • Customize View: Time Zone: Confirm your local time to ensure all appointments sync correctly.

    • Time Format: Toggle between a 12-hour or 24-hour clock.

  • Buffer Time: Add 10–15 minutes here to ensure you have a "breather" between sessions for notes or rest.

Manage Locations

  • Physical Addresses: Under the Calendar tab, go to Service Locations. Enter your office address(es) and click Save. These locations will be available to select when you or your patient books an on-site appointment.

  • Integrated Telehealth: No extra setup required. Allia includes a built-in, HIPAA-compliant video room.


Tab 2: Set Your Availability

The Availability Tab controls what patients can see and book themselves through the Allia app.

  • Patient Self-Scheduling:

    • To enable: Toggle the days you want to work to "On" and set your hours.

    • To disable: Toggle all days to "Off." You can still book clients manually from your dashboard, but they won't be able to pick their own times in the app.

  • Adding Lunch Breaks (Split Shifts):

    • You can add multiple available time blocks to a single day to create gaps.

      • Example: Create one block from 9:00 AM – 12:00 PM and a second from 1:00 PM – 5:00 PM. The gap in the middle is automatically reserved for your lunch.

  • Date-Specific Availability (Overrides):

    • Use date-specific hours when you need to override your regular weekly schedule for a particular day (for example, shorter hours during holidays or special events).

    • To set date-specific availability:

      • Select the specific date you want to modify.

      • Add the working hours for that day.

      • Save your changes.

    • These hours will apply only to the selected date and will override your usual availability for that day.

Tab 3: Holidays

  • Auto-Block Holidays: Select your country (US or UK).

  • Observe: Toggle the specific national holidays you observe.

Result: Allia will automatically block these dates from your schedule every year, so you never have to remember to manually close your office for holidays.
