Getting Ready to Add Patients

Adding a patient in Allia triggers an automated welcome sequence and invitation to download the Client/Patient App. To ensure your patients have a professional "Day One" experience, run through this quick checklist to verify your automation settings.


1. Configure your intake forms

Allia automates document delivery. Before adding a patient, ensure your required paperwork is ready in Management > Manage Form Templates.

  • Standard Consent: Upload your "Consent for Treatment" as a signable PDF.

  • Intake Forms: Use the dynamic form builder for medical history or intake questionnaires.

  • Required Fields: Ensure critical questions are marked as "Required" so you receive full data before the first appointment.


2. Verify calendar availability

Patients can view your availability and book appointments immediately upon logging into the app.

  • Set Hours: Navigate to the Calendar tab to define your working hours.

  • Self-Scheduling: If you prefer to book patients manually, ensure the self-scheduling toggle is set to "Off."


3. Create a test patient profile

We recommend adding yourself as a "Test Patient" using a personal email address. This allows you to experience the onboarding flow from the client's perspective:

  • Review the Welcome Email: Verify the tone and instructions sent to your clients.

  • Test the App: Download the Allia mobile app to view your practice profile.

  • Complete Forms: Sign your own intake documents to verify the layout and required fields.
