Uploading External Patient Records

Use the Records tab to store documentation from outside providers, labs, or patients—including completed worksheets, prior diagnostic assessments, and referral letters.

How to upload records

  1. Navigate: Open the Patient Dashboard and click the Records tab.

  2. Upload: Click the Upload Document button.

  3. Select: Choose a PDF file from your computer (up to 50MB).

  4. Submit: Click Done to complete the upload. You’ll see a small toast notification confirming each successful upload.

Key Requirements

  • PDF Only: All external documents must be in PDF format.

  • 50MB Limit: Individual files can be up to 50MB.

  • Visibility: Records are immediately visible to the clinician and anyone with visibility access to this feature—such as supervisors. This makes clinical review seamless within an Associate’s case folder.

  • Persistence: Uploaded files stay in the patient’s profile until deleted.

Viewing, and Searching, and Managing Records

View: Click any file name to open it directly in Allia’s secure viewer.

Search: Use the search bar to quickly find a record by its name.

Delete: Click the Trash Icon to permanently remove a file anytime.

Clinical Best Practices

  • Keeping prior evaluations and lab results in the Records tab ensures that all care team members (with appropriate permissions) are working from the same clinical context.

  • We recommend naming files clearly (e.g., "2023_Neuropsych_Eval.pdf") to make them easily searchable during a session.
