Bulk Import Your Patients (CSV)

If you are transitioning from another EHR or onboarding a large caseload, you can use a CSV import to add patients to Allia simultaneously.


How to bulk add patients

1. Start the import Navigate to New Patient → Import via CSV.

2. Prepare your file You can download our sample CSV format to ensure your data is organized correctly.

  • Required Fields: You must include a First Name, Last Name, and Email for every patient.

  • Optional Fields: You may include additional demographic data as outlined in the sample file.


3. Upload and map fields Drag and drop your CSV file into the upload area. You will be prompted to "map" your columns—this means matching the headers in your file (e.g., "Client Email") to Allia’s data fields (e.g., "Email"). Click Next once the mapping is verified.


4. Review for errors Allia will highlight any rows with missing or incorrectly formatted data. You can choose to:

  • Correct the errors in your file and re-upload.

  • Continue the import without the invalid entries.

5. Select onboarding forms Choose which forms should be sent to this entire group of patients.

  • Defaults: Any forms marked as "Default" in your settings will be pre-selected.

  • Form Types: You will see each document labeled as a PDF to read, PDF to sign, or Fillable form.


Frequently asked questions

Will every patient get an email immediately? Yes. Once the import is finalized, Allia will send an automated welcome email and form request to every valid email address in your file.

What if a patient already exists in Allia? If the CSV contains an email address already registered in your practice, Allia will flag it as a duplicate and skip that entry to prevent creating multiple accounts for the same person.
