Allia can turn telehealth session audio into a transcript and a draft clinical note. The patient must consent before transcription begins.
Use the automatic consent prompt
When Session Transcription is enabled in Calendar Settings, Allia asks for consent before each telehealth appointment.
I Consent: Transcription starts automatically when both participants join.
I Do Not Consent: The appointment continues without transcription.
If the patient changes their mind during the appointment, select Start Transcribing and confirm that you obtained their consent.
Start transcription manually
When Session Transcription is disabled, the patient does not see the consent prompt.
To start transcription:
Obtain the patient’s consent.
Select Start Transcribing at the top of the telehealth window.
Confirm that you obtained consent.
Important: You are responsible for obtaining the patient’s consent before starting transcription manually.
Pause or resume transcription
After transcription starts, you can pause or resume it at any time. This lets you stop transcription for sensitive parts of the conversation or when the patient asks.
Review the transcript
After Allia processes the session, open the patient’s Transcripts tab. You can review the transcript or delete it when it is no longer needed.
Review the draft note
Allia uses the transcript to create a draft note in the patient’s Notes section. The note uses your selected format, such as SOAP or DAP, and your documentation preferences.
Review and edit the note before saving it to the patient’s record.
Use the transcript for other documentation
You can also use a transcript when creating billable notes, treatment plans, and other AI-assisted documentation in Allia.
Privacy and storage
Allia processes session audio to create the transcript.
Video is not recorded or stored.
Transcripts are encrypted and stored in Allia with HIPAA-compliant safeguards.
Each transcript is connected only to the appointment and patient record where it was created.
You can retain or delete transcripts.
