Completing a visit and connecting records

Record attendance, prepare billing, and connect a note or service to an appointment.

Use an appointment to record attendance for an individual visit. You can also prepare a billing service and connect the correct note or service. A Current Procedural Terminology (CPT) code identifies the planned billing service.

Adding a planned CPT code

Planned CPT codes are available for individual appointments with an insured patient. The patient's payer and member information must be complete.

To add a planned CPT code:

  1. Start scheduling the appointment.

  2. Select the patient.

  3. Select Add CPT code.

  4. Choose the planned code.

  5. Finish scheduling the appointment.

Note: If eligibility has not been checked recently, Allia shows a reminder and a link to review it.

Important: A planned CPT code is not a submitted claim. It tells Allia which unbilled service to prepare after the appointment is completed.

Marking attendance

To mark attendance:

  1. After the appointment ends, open it from the Calendar.

  2. Under Mark Attendance, choose Mark as Completed or Mark as No-Show.

  3. Confirm your selection.

Understanding what happens after completion

When an individual insured appointment has a planned CPT code and is marked completed, Allia creates and connects the matching unbilled service.

If billing information stops the service from being created, select Open patient billing in the appointment alert. Correct the missing billing information. Then select Retry service.

Connecting a note or service

To connect a record:

  1. Open the individual appointment.

  2. Select Connect note or Connect service.

  3. Choose an available record for the patient.

Note:

  • You can connect one note and one service at a time.

  • A service must be unbilled before you can connect it.

  • You cannot disconnect a billed service.

  • Allia may connect a note created from the session automatically.

  • Allia may connect a service created from the planned CPT code automatically.

Correcting attendance

To correct the attendance status:

  1. Open the appointment.

  2. Select the correction shown under the current status.

Important:

  • Flows that already ran are not reversed or run again for the same status.

  • Changing to the other status may run that status's Flow for the first time.

  • You cannot change a completed appointment to No-Show while it has a connected service.

  • Disconnecting a service created from the planned CPT code removes that service.

  • Disconnecting a manually created service leaves it in Billing.
